Collection Management

Standard Package
Our Standard Package contains a comprehensive set of functionality and collection data. Since spring 2022, the Preserved Material module is included at no additional cost.

• Accessions with plant and determination history, plant mapping, collectors, origin, material, permits, references, parentage, etc.
• Taxa with synonyms, common names, description, occurrence, conservation status, references, parentage, etc.
• Taxonomic hierarchy with genera, families, orders, etc.
• Images for accessions and taxa.
• Plotting of plants, garden locations and localities directly on maps.
• Maps showing plants, garden locations and localities.
• Reports for viewing or exporting to Excel or text files. Export to BGCI and GBIF (Darwin Core Archive) are supported.
• Labels using Word templates or export to Excel or text files for import to label software. Use of barcodes and QR-codes is supported.
• Tasks, Exchanges, Inspections, Tours and Funding for management of the collection.
• Management of Features, Contacts, Personnel, Library and Permits.
• User authorization using roles allowing detailed access control.
• Code lists used throughout the system to validate user input.
• User defined custom fields for taxa and accessions.
• System Tasks for various needs such as uploading to the Web Explorer.
• Integrated Task Scheduler to automate system tasks, reports, data export and data import.

Please note that mapping support requires the optional Mapping module.

Preserved Material*
Record other material types than the living plant collection.

• Define your own types (e.g. herbarium specimens, seeds, DNA material).
• Define code lists related to each type (e.g. status).
• Create detailed propagation protocols.

Mapping
Display maps and update map coordinates for plants, garden locations, features and accession localities.

• Use your own maps or choose between a wide range of internet maps, including Google maps, Bing maps, OpenStreetMap, etc.
• Several coordinate systems are supported.
• Map data can be exported in various formats for import to other map systems.
• Use our web map hosting service for custom maps to display in IrisBG or the Web Explorer.

Web Explorer
Share your plant collection to the public with maps, features, tours and searchable plant lists. Check outhow gardens use the Web Explorer.

• Use in web browsers on desktops, tablets and smartphones. Appearance will automatically adapt to screen size.
• Contains pages for search, map, taxon and plant details with mapping, taxon name list, features and tours.
• Make the site your own by styling to match the layout, fonts and colours used on your main website.
• Use your own maps or choose between a wide range of internet maps, including Google maps, Bing maps, OpenStreetMap, etc.
• Built-in support for GPS, QR codes and multiple languages.
• Upload data on demand or use the integrated IrisBG Task Scheduler.

Please note that complete multilingual support requires the optional Multilingual Data module.

Store Management
Prepare catalogues to offer your plant material (e.g. Index Seminum or other material) to other gardens or to the public.

• Catalogues can be published as PDF's and/or uploaded to the Web Store.
• Handle orders and print shipping labels for the orders and material.

Web Store
Publish your store catalogues (e.g. Index Seminum) on the web. Check outhow gardens use the Index Seminum.

• Upload your catalogue and optionally your customer list.
• Receive orders directly and avoid the typing.
• Order confirmations will be sent by email to the customer and to your garden.
• Notify customers by email when a new catalogue is available.
• Make the site your own by styling to match the layout, fonts and colours used on your main website.

Data Import
Import data directly from files.

• Work-saving when entering large amounts of data.
• Input validation is the same as when data is entered manually.
• Supported file types are XLSX (Excel) and CSV.

Multilingual Data
Enter data using different languages in dedicated fields.

• Fully supported for reports and labels.
• Fully supported by the Data Import module.
• Automatically included and handled by the Web Explorer module.
